An opportunity exists in our Meetings Services team for a 5 month contract as a Project Coordinator.

The Meetings Services team provides specialist support and project management to clients in relation to their shareholder meetings. This activity is often critical to our client’s corporate calendar, strategic direction and may involve intensive interaction with the client.

As there are increasing demands and dynamic changes that occur during the busy, concentrated period of the Meetings season, the Project Coordinator is expected to balance a fair and reasonable workload. This will involve dealing with multiple clients, and at the same time learning about the specialised knowledge gained in the department to maintain the service levels expected from clients and Computershare.

Due to the changing nature of the business, the Project Coordinator is expected to be flexible to take on other departmental or company tasks as required.  A requirement for the successful candidate to also work on weekends may also arise depending on closing dates of proxy forms. The project Coordinator may also take on responsibilities on the day of the meeting which may require regional and interstate travel.

The key responsibilities include:

  • Liaising with clients and other departments to prepare and manage the dispatch of documentation and digital communications.
  • Organising all tasks associated with the setup, planning and attendance of security holder meetings
  • Determining proxy processing rules
  • Responding to written, email and telephone client enquiries
  • Create and adhere to timelines for internal/external milestones and ensure sign offs are authorised, with supporting documentation on record in accordance with the audit requirements.
  • Investing an appropriate amount of time in each project phase from planning and preparation through to timely execution and debrief.
  • Compliance with procedural documents (checklists, procedures, system user guides, etc.) and identify risks within the end to end process on ad hoc jobs.
  • Assist with ad-hoc duties as required
