Job Summary
The Intake Specialist is the first point of contact between a claimant and the law firm representing the claimant in a potential mass tort matter.  Specifically, the Intake Specialist performs claimant intake, orders and review medical records, completes plaintiff fact sheets, maintains and updates the claimant database, responds to claimant inquiries, and performs other vital tasks on behalf of the law firm representing the claimant.  Because the Intake Specialist is actively involved in the mass tort litigation process, the Intake Specialist must have exceptional verbal and written communication skills.  Furthermore, the Intake Specialist must have a careful eye for detail, a compassion for the affairs of others, an acute sense of organization, and the ability to work collaboratively in a team-intensive environment.  The Intake Specialist must have proficient knowledge of and experience with Microsoft Office (including Outlook, Word, and Excel), as well as other electronic platforms and databases.
Position Responsibilities and Essential Functions
  • Completing claimant intake on legal matters involving pharmaceutical drugs, medical devices, and toxic torts, amongst subject matters of litigation.  The Intake Specialist is trained on the criteria that our client-law firm has defined for any given lawsuit.  The Intake Specialist then interviews prospective claimants over the phone to determine whether the claimant qualifies and meets the criteria for the mass tort action at issue.  Upon completion of the intake, the Intake Specialist reviews the intake questionnaire and other documents to determine whether the claimant at issue meets predefined case criteria.
  • Preparing and obtaining retainers, medical authorizations, questionnaires, plaintiff fact sheets and other documents sent to prospective claimants.  The Intake Specialist prepares these materials for each claimant, ensures their arrival, and then regularly follows up (and documents this follow up process) with the claimant to ensure that the documents are completed, signed, and returned.  The Intake Specialist reviews, revises, and prepares the final plaintiff fact sheets and ensures that they are accurate and complete in all respects.  At all times, the Intake Specialist is to complete his/her assignments by the deadlines set by the client or the supervising Consultant/Director. 
  • Ordering and reviewing claimant medical records to determine whether claimant allegations are supported by evidence.  The Intake Specialist is responsible for identifying the proper timeframes and facilities from which to order medical records.  The Intake Specialist tracks the completion of these orders and follows up with our vendor and/or facilities to ensure that the orders are completed and received.  Upon receipt of the records, the Intake Specialist reviews and bookmarks the records to flag salient excerpts for our client-law firms.
  • Regularly communicating (via phone, mail, and email) with claimants and answering their questions regarding the status of their case.  The Intake Specialist is to sucinctly summarize and document all interactions with and actions performed on behalf of the assigned claimants and casework.  These activity notes (and claimant-related documents) are to be submitted and uploaded to our proprietary database.  Updates to claimant contact information and updates pertaining to their cases/assignments are to be regularly entered into the database.
  • Collaborating with the Intake Specialist's supervising Consultant to ensure that work is properly prioritized, that the instructions and scope of an assignment are fully understood, that our technology is being effectively utilized in the completion assignments, and that our procedures and protocols are adhered to.  The Intake Specialist is expected to update their supervisor on their progress with various assignments and to notify their supervisor when they can take on additional work.
  • Attending and contributing to team meetings, department meetings, one-on-one sessions, and other training opportunities.  The Intake Specialist should engage in his/her own professional development and ensure that he/she is progressing and learning new skills and addressing any weaknesses in his/her work.
  • Other duties or tasks as assigned by management.

Education and Experience
Required: 
  • Four year college or university program certificate; or two to four years related experience and/or training; or equivalent combination of education and experience.
Language Ability
Ability to read/analyze/interpret business periodicals/ journals/technical procedures/gov. regulations; write reports/business correspondence/procedure manuals; effectively present information/respond to questions from managers/clients/customers/public.
Mathematical Ability:
Ability to work with mathematical concepts such as probability and statistical inference.  Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
